If you are paying for ads, printing leaflets, posting on social, or investing in your website, you need to know what actually brought in last week’s paying jobs. The aim is simple. Match each call or message to where that person first found you, then follow it through to a booked visit, a quote, and an invoice. Once you can see revenue by source, you stop guessing and put your money where it genuinely works.
1. What “tracking” really means for a trades business
Tracking is not just counting enquiries. It is connecting a real phone call or message to the place that nudged the customer to act, then noting whether that enquiry became paid work. Your monthly view should tell you, for each source, how much you spent, how many people got in touch, how many visits you booked, how many jobs you won, and how much those jobs were worth. With that, decisions get easy.
2. Keep one main phone number
You do not need lots of different phone numbers to track results. Keep your usual number everywhere for trust and consistency. On your website, add a tiny piece of code that quietly “labels” calls based on how the visitor arrived. Someone from Google Ads is tagged as ads, someone from Google search is tagged as organic, someone from Facebook is tagged as social. The caller still sees and dials your normal local number, and your call log records the source in the background.
3. Use clear, labelled links
Any link you control should carry a simple label that says where it came from, for example google, facebook, email newsletter, or leaflet page. You do this by adding a short note to the end of the link before you post it. When people click, your website records the label, and when they call or fill in a form, that label travels with them. You do not need to be technical; just keep the labels tidy and consistent.
4. Track calls, forms and WhatsApp in one place
Make sure your website records when someone taps your phone number, sends a message, or submits a form. Those taps and forms should keep the source label mentioned above, so everything lines up. If you prefer WhatsApp, send people to a simple page first so the visit is labelled, then let them click through to chat. Store every enquiry in one place so nothing is lost.
5. Offline marketing can be measured without extra numbers
Vans, site boards and leaflets can still be tracked while you keep a single public number. Add a small QR code that lands on a simple page on your site. That page carries a clear label such as leaflet or board. If people prefer to type, use a short, memorable web address that forwards to the same page. When they call from there, the call is counted against that offline activity.
Often a customer first notices you in one place, then returns through another when they are ready to book. Look at both. First touch shows who introduced you. Last touch shows what finally made them call. Trades usually win or lose at the last touch, but the first touch stops you cutting a channel that quietly feeds the pipeline.
Quality of calls matters more than volume
Ten price-shoppers are worth less than three ready buyers. Record calls with consent and tick a simple outcome while the chat is fresh: booked visit, quote given, wrong fit, or repeat customer. Spend ten minutes a week listening to a couple of calls. You will spot weak keywords, confusing website wording, or a phone script that needs tightening, and your conversion rate will climb.
Once a week, open your log and review three things. Which sources brought calls and messages, which sources turned into booked visits, and which sources turned into paid jobs and revenue. If something costs money but does not create booked visits, fix it or pause it. If something quietly brings in high-value work, give it more love next week.
